Event operations software

Manage the event plan,
crew, and costs in ONE.

ONE stands for Operational Network for Events. It is Opeerion’s event management platform for building the quote, scheduling the work, and reviewing what it cost. Your team works from the same show record as the event moves from inquiry to invoice.

The overview brings pipeline totals, staffing gaps, active shows, and recent quotes onto one page. Summary cards show active shows, open quotes, pipeline value, won work, and outstanding invoices. The crew section identifies unfilled roles and offers awaiting a response. Show rows include the client, dates, status, readiness, and quote count. All names, amounts, and records in this image are fictional.

From the plan to the work

A room change affects more than the schedule.

The crew needs a new location. Production needs to check the equipment and room coverage. The office needs to know whether the change affects the quote. ONE keeps those records attached to the event so the team can review what needs to change.

Use the event details you already have.

Keep the client, venue, dates, scope, crew assignments, and equipment against the show. Add to that record as the job develops instead of rebuilding the event for each department.

Check the work against the plan.

Review quoted scope, planned labor, submitted hours, and costs. Approved timesheets inform tracked labor costs; unreviewed submissions do not silently replace the plan.

Give each person the access they need.

Operations manages the show. Crew sees assignments and published information. Clients receive proposals and contracts. Role permissions keep commercial details with the office.

A change still needs an owner. Updating a show record does not automatically revise every document or notify every outside system.

Core modules

The records behind
each event.

Start with the inquiry and add the details as they are confirmed. Sales, staffing, equipment, production, and billing use the same show record.

01 / SALES

Move an inquiry through pricing, approval, and signature.

Use your service catalogue and rate cards to build versioned quotes, web proposals, and browser-signed contracts.

  • Pipeline
  • Rate cards
  • Versioned quotes
  • Browser signature

02 / CREW

Fill open roles and give crew direct access.

Filter by role, availability, and local radius; view venue distance; send offers; then publish calls, documents, schedules, and hours through individual crew links.

  • Fill planner
  • Offers
  • Crew portal
  • Messaging

03 / EQUIPMENT

Track equipment from availability through return.

Book inventory and kits, track serialized assets, scan cases in and out, print labels, and remove maintenance items from availability.

  • Serialized assets
  • Scanning
  • Kits
  • Pull sheets

04 / PRODUCTION

Plan schedules, rooms, documents, and travel.

Build multi-day schedules, assign room coverage, assemble show books, manage venue records, and track travel against the show.

  • Room coverage
  • Show books
  • Venues
  • Travel

05 / FINANCE

Apply billing rules and see estimated show margin.

Calculate time using show-specific rules, review submitted hours, manage vendor orders, issue invoices, and compare configured costs with sell price.

  • Billing rules
  • Hours inbox
  • Show profit and loss (P&L)
  • Invoices

Show lifecycle

One show record from inquiry through invoice.

Approved scope, staffing, equipment, schedules, actual time, costs, and invoices remain linked as the job moves forward.

Review submitted hours before posting new labor records.

Compare new or conflicting entries with the plan. Existing records are not silently overwritten.

Opeerion tools

Keep specialist work connected to the event.

ONE holds the event and commercial records. Event Crew Call handles crew calls and time. PresOps handles presentation operations. All three systems are live; your account executive will confirm the connections and setup needed for your team.

Review hours against the job.

Hours received from Event Crew Call go through ONE’s reconciliation workflow. New or conflicting entries can be checked before posting. Timesheet approval is a separate step before those hours inform tracked labor costs.

Explore Event Crew Call

Prepare the presentation schedule.

PresOps can import session, room, time, and speaker information from a schedule file. The team maps and previews the data before committing the import, then manages presentation delivery in PresOps.

These are defined handoffs, not a promise of automatic two-way synchronization. We will confirm the source records, transfer steps, permissions, and review process with you during setup.

Who uses ONE

Different teams, working on the same event.

Planners and agencies

Keep the client’s scope, venue details, schedule, and supplier decisions together as the program develops.

Product capabilities

What ONE manages.

Read a plain-language overview

ONE helps teams plan and run live events. Each show has one record for its prices, people, equipment, dates, work hours, costs, and bills.

Office staff can prepare quotes and contracts, book crew, and plan equipment and travel. Crew can use their own links to see assignments, start times, and documents, and submit hours. Clients can read proposals and sign contracts in their browser.

Staff review hours sent from other systems before adding them to the official records. They can also compare vendor prices, track costs, and send invoices. Each customer has a separate app and database.

Getting started

Let’s look at how your team works.

Bring an event you know well: how it was quoted, who staffed it, where information changed, and how it was closed out. We can walk through that workflow in ONE and agree on the setup you need.

How is ONE priced?

Pricing is arranged through an account executive, not a flat online plan. We will discuss your team, the tools you need, and setup requirements before proposing a scope and price.

Can Opeerion help us get set up?

Yes. Setup support is available. We will review your existing records, roles, rate cards, and workflow, then agree on what to configure and which data can be imported. The work included is confirmed with your account executive.

Do we need every Opeerion product?

No. Start with the work you need to manage. ONE, Event Crew Call, and PresOps have different jobs. We will explain which tools and connections are relevant and include the agreed products in your proposal.

How are access and customer data separated?

Each customer has a separate ONE application and database. Role permissions control access within it. Crew views exclude quotes, rates, invoices, and margin; clients receive the documents intended for them.

What display and accessibility options are available here?

This website includes text sizing, reading layouts, color themes, contrast controls, and reduced motion. Choose display preferences or read our accessibility information. Tell us about any access needs for your demo; website features do not establish conformance of the separate ONE application.
